Making an enquiry about a holiday:
We need to collect details from you in order to answer your enquiry about our holiday cottages or the services we offer.
The information that we need to hold is likely to include your name, contact details, information about your enquiry and/or booking and any additional information we may need to help meet your specific requirements.
We will then use the information you provide to manage your enquiry (or to help us to provide details or other information you may have requested).
Making a booking:
We need to collect details from you in order to make a booking of one of our holiday cottages.
The information that we need to hold is likely to include your name, contact details, information about your booking and any additional information we may need to help meet your specific requirements.
The information you provide may be used to enable us to complete your booking. This information may also be used to provide that booking to you in accordance with our Booking Terms and Conditions.
In order to provide your booking to you we may share your information with owners of your chosen holiday cottage (or their appointed contact), credit/debit card companies* and third parties who we may need to work with to deliver services for your stay (such as cottage cleaners, management companies and other suppliers).
We may also share your contact details with Reevoo (our third party review administrator) who may contact you to ask for your feedback on the accommodation and/or the services that have been provided. Your feedback, if you provide it, will then be displayed on our website but not your contact details.
*Card Payments are processed by Sagepay and by Stripe - your card details are not retained by Sally’s Cottages.
If you request our brochure, then the information you provide will be used to send you our brochure. If you book a cottage with us, we will add you to our brochure mailing list. We send one, sometimes two brochures a year.
If you would no longer like to receive our brochure, then please send an email to [email protected] and we will remove your personal details from our brochure mailing list.
We may use third party companies to post our brochure to you. These third parties do not retain access to your data and do not use it for any other purpose except to post out the brochure.
Please note: there is a four week lead time on our brochure so there may be some rare occasions where your brochure is already on its way to you and can’t be stopped.
If you would no longer like to receive our newsletter, then please either unsubscribe by clicking the unsubscribe link at the bottom of our newsletter or send an email to [email protected] and we will remove your personal details from our newsletter mailing list.
We occasionally offer a voucher, a break in a cottage, or other prizes in giveaways run on social media.
When you enter, we may collect your name, email address and postal address. We process this data and retain it for 2 months after the giveaway has closed.
During the giveaway you may also be given the option to consent to future marketing from us. If you consent to future marketing we will continue to process your data on that basis, unless you withdraw consent in which case your data will be deleted.
Personalising your online experience
We may use your information to personalise your online experience and make sure that we show appropriate adverts on our website and on other websites and platforms where we place advertising, such as (but not limited to) Facebook and Google. You can control what advertisements you receive via the privacy settings on the individual platforms that we advertise with.
We may also use your information to identify other people like you, with similar interests to present our marketing to on Social Media and Google. No information about other individuals identified from these networks is shared with us at any time.
Making an owner enquiry:
We need to collect details from you in order to answer your enquiry about letting your Holiday Cottage or the services we offer. We will use the information you provide to manage your enquiry (and/or to help us to provide details or other information you may have requested).
The information that we need to hold is likely to include your name, contact details, cottage name, cottage details, historical information about prices and occupancy levels at your cottage and any additional information we may need to help meet your specific requirements.
If you don’t go ahead with letting your cottage with us, then you can ask us to delete this information at any time by sending an email to [email protected].
Joining Sally’s Cottages as an owner
When you join Sally’s Cottages, we need to collect details from you in order to add your details and the details of your cottage to our website and in order to provide our Services to you in accordance with our Owner Terms and Conditions.
The information that we need to hold is likely to include your name, contact details and bank details (account name, number and sort code). We also need to hold details of your cottage including cottage description and technical information, key location and key pick up information, photos and video of your cottage and any additional information we may need to help meet your specific requirements.
The information you provide may be used to enable us to add your cottage to our website, social media and other marketing channels (both online and print).
We may also advertise your cottage on websites belonging to other organisations. In order to do this we will need to share your cottage details with other organisations for them to use on our behalf in connection with the creation of marketing and promotion for us.
In order to complete and manage bookings at your cottage, then we may also share your information and your cottage information (including key pick-up information and cottage access information) with visitors and third party suppliers who we may need to work with to deliver these services (such as cottage cleaners, handymen and other suppliers).
Consent & Contract
Where you give your consent for us to hold and process your data (either by making an enquiry or booking with us or by signing up for our brochure or our newsletter) then you only need to contact us to inform us to ask us to stop processing your data and/or to delete (to the extent possible) all your personal data (unless we are required by law to keep specific details).
Please note that where you make a booking to stay at one of our cottages, then we need to retain your information in order to process your booking and as such we won’t be able to delete your personal information until after your stay.
For owners letting your cottage with Sally’s Cottages, we may need to retain your personal information and information relating to your cottage in order to comply with legal requirements to HMRC in respect of data retention regulations for accounting purposes and as such we won’t be able to delete your information until any statuary limitations have expired.
Please note that we may disclose your personal data (about our Owners and our Visitors) without your permission to the extent that we are required to do so by law or regulation or in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights.
Please contact us if you would like to confirm whether we hold any of your personal data or to ask us to stop processing (or to delete, to the extent possible,) your personal data (where we are required by law to do so).
